Top Ten Hosted Video Conferencing Tips

If you've never held a hosted web conference, we would like to bring you up to speed.  We've compiled a list of tips that will make using conferencing services to host your first meeting a breeze.  Really.

Time = Money with Hosted Video Conferencing

Ask your attendees to join in at least five minutes early, because everyone knows that the early bird gets the worm.  Or in this case, the early birds get last minute instructions that could be crucial to the productivity of your meeting.

This Means You!

It should go without saying that you should be earlier than your fellow video conference-goers.  Showing up ten minutes ahead of everyone will ensure that you're there to meet them at the virtual door.

If you are set up with two-way audio explain when the particpants will be allowed to speak or ask questions. Ask that no one interrupt the presentation until it is there turn to speak. Everyone not speaking should mute his or her phone.  This will cut down on noise and all

Do You See what I See?

Before beginning the meeting, you should check to see that everyone is seeing what they should be seeing on their screen, including PowerPoint presentations, spreadsheets, or each other your hosted video conference. 

Hopefully they're not seeing Misty from Purchasing quickly remove her itchy bra.  Come on, Misty, what part of webcam don't you understand?  If you think I'm kidding, I'm not.  There is a video on the web of an unfortunate individual that did just that.  

Video Conferencing Equipment

It might sound self-explanatory, but you should check all of your equipment's connectors and cables before Web conference time to make sure that everything is secure.  If not, you could accidentally knock something loose during your conference and end your presentation a bit prematurely.

Short and Sweet 

Anything over an hour tends to be a bit extreme when you're hosting a web conference.  Try to keep things short and to the point to keep your attendees' interest level up.  You don't want people nodding off during the most important parts.  However, don't go to the other extreme and speak like an auctioneer.  You'll lose people.
 

Recording for Posterity

If you're using a hosted Web conferencing service that allows this feature, take advantage of it.  If the lperson designated to record and transcribe the video conference drops the ball, you can review the recording made by the Web conferencing service at a later time to make sure you didn't miss anything important.

A Live Video Conferencing Audience

You should try and have a couple of attendees from your location attend the meeting in the same room, if possible.  This will ensure that you're keeping everyone's interest, as you'll be able to judge facial expressions. 

Hosted Web Conferencing  Q & A

Make sure to give your attendees time to ask questions.  If you're request for questions is greeted by silence, let it ride for a minute.  People will get so nervous by the sound of dead air that they'll say anything to break the tension.  Your first instinct if no one speaks up in three seconds will be to keep talking, but an important part of Q & A Time is giving an opportunity for the Q's.
